How to split a multi-currency group trip without a spreadsheet

You didn't volunteer to be the money person. It just sort of happened. Now you've got a Notes app that says "dave -¥3000?", a group chat with 47 unreads, and a slow feeling that you're the only one actually keeping track.

Start before the trip, not after.

Agree the split rule once, up front, before each planned outing while everyone's still excited and nobody owes anything yet. Even just loosely! Do an even split? By who was actually there for each thing? By line item? By couple? Any rule works. The one that starts fights is "we'll figure it out later," because later is 2am on the last night with half the group already asleep.

Log in the currency you actually paid.

This is the big one for multi-currency trips. Write down "¥12,000 taxi," not "about $80 taxi." We trust you're good at math, but the moment you convert it in your head, you'll have baked in an error and a future argument. Record the real amount in the real currency, and convert once, later, with one rate everyone can see.

Settle at the end, in the fewest transfers.

Don't pay each other back after every meal. Let it ride, keep the running tally, and settle the whole thing once at the end. Done right, six people net out to two or three transfers instead of twenty. Fewer payments, and a lot less "wait, did I already pay you for that?"

Where it doesn't make sense:

• A shared spreadsheet genuinely works for a tiny trip. Two or three people, one currency, a weekend: a Google Sheet is fine, and free. Don't over-tool a small trip.
• Wise or Revolut are what you want for the actual cross-currency transfer at the end. Mid-market rate, transparent fee, better than eating a bad conversion on your card.
• Volumi is for when the spreadsheet stops being fun: more than a few people, more than one currency, a week or more of expenses. And then the finish line!
